Facility Assistant - VanMatre SAWC

Job Description

JOB SUMMARY: Part-time
The FACILITY ASSISTANT works under the direct supervision of the Senior Center Director and the general supervision of the Director of Senior Services. Will assist with daily office clerical duties, planning fund raising/activities/special bus trips, will fill in for kitchen duties and transportation as needed.

JOB DUTIES AND RESPONSIBILITIES:
1) WILL ANSWER TELEPHONE AND GREET VISITORS: will answer telephone, either taking messages, handling inquiries or referring call to the Center Director; assists Center Director in greeting visitors and program participants who visit to the senior center.

2) WILL PERFORM RECORD KEEPING DUTIES: will complete Consumer Registration forms on new clients; will record units of service; will set up client files; and perform other record keeping as necessary.

3) IF ASSIGNED, WILL TAKE CARE OF INCOMING AND OUTGOING MAIL (Pickup mail at post office and take afternoon mail).

4) WILL MAKE SURE DAILY BANK DEPOSIT IS MADE, TAKING THE DEPOSIT TO THE BANK IF NECESSARY.

5) WILL ASSIST CENTER DIRECTOR IN PLANNING AND CONDUCTING SPECIAL FUND-RAISING EVENTS FOR THE CENTER.

6) ASSISTS IN PLANNING OF SPECIAL BUS TRIPS AS NEEDED.

7) WILL ASSIST CENTER DIRECTOR IN PLANNING AND CONDUCTING PUBLIC RELATION ACTIVITIES TO PROMOTE THE PROGRAM: will help distribute literature and assist where needed in promoting the senior center to the general public.

8) INTERACTS EFFECTIVELY WITH CLIENTS AND OTHERS: always maintains a professional but caring and compassionate demeanor; treats other staff members and volunteers with respect; never displays anger or impatience with clients, staff or volunteers; never abuses clients, either physically or emotionally.

9) MAINTAINS CLIENT CONFIDENTIALITY AND PRIVACY: does not discuss or gossip about client; ensures that all information contained in the client file is kept confidential and not given to the public.

10) ASSISTS IN CLEANING AND STRAIGHTENING SENIOR CENTER AFTER DAILY ACTIVITIES ARE COMPLETED. Senior Center shall always be neat and orderly.

11) ASSISTS IN KITCHEN AS NEEDED: will assist kitchen staff in such areas as serving the meal, cleaning up etc., as needed; will drive van routes or special trips as needed.

12) ASSISTS IN TRANSPORTATION AS NEEDED:
a) OPERATES VEHICLE IN ACCORDANCE WITH ALL TRAFFIC LAWS: drives van in a safe and stable manner following all traffic laws; prevents smoking, eating or drinking on vehicle; assists passengers on and off van; assists passengers with parcels; keeps Center Director apprized of ridership, and assists in planning routes to offer maximum service at minimum mileage; notifies clients in advance of route changes or cancellations.
b) FOLLOWS PREVENTIVE MAINTENANCE GUIDELINES: performs pre/post daily inspection of van at beginning and end of route; monitors mechanical condition and safety of vehicle daily; reports needed repairs to Center Director immediately; reports maintenance needs based on Vehicle Preventive Maintenance Schedule guidelines which includes oil change and servicing every 3,000 miles (guidelines attached); keeps records of maintenance and repairs according to guidelines; cleans vehicle routinely (washes exterior weekly and sweeps or vacuums interior daily).
c) KEEPS ACCURATE RECORDS: completes Daily Vehicle Log as required and submits to Center Director by end of each work day; completes Home-Delivered Meal Route Form (if applicable) and submits to Center Director at end of route; records maintenance/repair information to include odometer readings at time of each incident; ensures all fuel invoices contain vehicle number, license plate number, odometer reading and driver's signature.
d) ASSURES SECURITY OF VEHICLE: parks vehicle in safe, approved location; locks all doors and windows when vehicle is unattended; maintains a locking gas cap to protect from vandalism; reports vandalism immediately.
e) REPORTS PROMPTLY ANY ACCIDENT INVOLVING VEHICLE OR CLIENT: notifies Center Director (or Director of Senior Services in supervisor's absence) immediately of all accidents; reports vehicle accidents to local law enforcement agency; completes accident reports promptly and submits to Director of Senior Services.

13) DELIVERS MEALS (IF APPLICABLE): packs meals in insulated containers to preserve temperatures; maintains proper temperature by keeping containers closed except when removing meals; conducts temperature checks of meals as required and records results; carry meals inside each house and assists clients in opening cartons; returns undelivered meals to the Center when clients are not home; reports any problems concerning clients' condition to Center Director.

14) IF HOST/HOSTESS IS NOT AVAILABLE, WILL BE RESPONSIBLE FOR SIGN IN DESK.

15) ATTENDS JOB-RELATED TRAINING AS REQUIRED.

16) PERFORMS OTHER DUTIES AS ASSIGNED.

JOB CLASSIFICATION: Non-Exempt – Part-time

Basic Qualifications

MINIMUM QUALIFICATIONS:
The formal education equivalent of a high school diploma. Must be able to read, write, speak and understand English. Must be 21 years of age or older. Other job related education and/or experience may be substituted for all or part of these basic requirements upon approval of the Board of Directors' or the Executive Director if such substitution does not violate program regulations.

SPECIAL REQUIREMENTS:
By the time employment begins, must have a current Arkansas Driver's License, submit proof of physical exam which shows health is sufficient for job duties; have no citations listed on driving record. (Driving record or health report which results in non-coverage by agency's insurance carrier will result in termination from job).
• Will provide proof of physical ability to safely perform job duties throughout employment when requested by employer.
• Will attend job-related training as required.
• Must maintain clear driving record and criminal record status.
• Must successfully complete training as required during the employment period to maintain current certification in First Aid.
